This document is the deliverable “D8.1 – EMERGE Communication, Stakeholder Mapping and Dissemination Plan” of the European Union project “EMERGE: Evaluation, control and Mitigation of the EnviRonmental impacts of shippinG Emissions” (hereinafter also referred to as “EMERGE”, project reference: 874990). It complements and should be read alongside EMERGE D9.1 “Project Management Plan”.

The aim of this deliverable is to produce a communication strategy and plan, covering coordination of the overall communication efforts of the consortium, to reach the dissemination objectives established in the GA of the project. It describes the most effective communication and promotion strategy for the dissemination of the project’s results. In addition, it outlines the methods, principles, goals, techniques, channels, tools and expected outcomes with quantifiable targets across the duration of the project. An outline timetable had been planned, but the global outbreak of COVID-19 has made this unviable at this point in time, so a timetable will be produced in the summer of 2020, when the project’s schedule is likely to be more settled. This will include creation and delivery of dissemination material such as poster and leaflets. The social media accounts and YouTube channel have already been created. We will actively formulate key messages to target stakeholder groups, identify target audiences including SMEs, invite stakeholders to join the project and ensure regular communication with them; design and circulate a dedicated regular (6 monthly) newsletter; write and disseminate annual press releases, use appropriate web-based platforms and media, draft papers for journals and organize Project Dissemination Events, as well as delivering presentations at conferences and other events.
This deliverable mainly targets the consortium partners and should be read alongside EMERGE D9.1 “Project Management Plan”. It serves as a reference document for all EMERGE team members including potentially any individuals joining in the project at a later stage.
Since the project is bringing together a set of diverse experts from different fields and backgrounds, a core principle guiding internal processes is based on open participation and flexibility. Additional principles are transparency about the project status as well as risk prediction and mitigation.

D9.1 defines some procedures of how to best communicate and structure the collaboration. It sets out that regular meetings are to be held via videoconferences as well as face-to-face. Communication is also taking place via e-mails using the project mailing lists. The main tool for sharing and collaborating on documents is a dedicated Microsoft EMERGE Google Drive platform. D8.1 sets out the communication channels outside these procedures.
In terms of ethics, the consortium is following the general rules defined by the EC and commits strongly to respect the individual and ethical research conduct. The exchange of primary research data amongst partners may in some specific cases contain personal data from study participants and the participants will be made aware of this.

The EMERGE consortium is looking into open strategies with regards to the research outcomes. This relates to software that is published under specific open licenses, following, and where possible contributing to, open standards as well as the research publications, which should be made openly accessible as far as possible.

The EMERGE Communication, Stakeholder Mapping and Dissemination Plan is understood as a living document and will be updated if need arises in order to improve the internal processes.
